This document is a working draft prepared for review by a Botswana attorney. It will be confirmed before public launch.

This policy explains how BeMore Digital ("BeMore Digital", "we") collects, uses, shares and protects personal information when you use www.bemoredigital.co.bw and our recruitment, career and HR services. We process personal information in accordance with the Data Protection Act, 2024 of Botswana.

1. Who we are

BeMore Digital is the controller of the personal information described in this policy. Contact: hitmeup@bemoredigital.co.bw, Gaborone, Botswana.

2. What we collect

  • Account details: name, email address, password (stored only as a cryptographic hash), role (job seeker or employer), and sign-in records.
  • Job-seeker profile: contact details, location, work experience, education, qualifications, skills, availability, salary expectations, and the CVs and documents you upload.
  • Applications: the vacancies you apply for, the CV and note you send, and status updates from employers.
  • Employer details: organisation name, registration document, contact details, team members, vacancies and notes about applicants.
  • Service requests: enquiries, orders for career or recruitment services, and related correspondence and invoices.
  • Technical data: IP address, browser type, pages visited and actions taken, collected through server logs and analytics (see Cookies).

We do not ask for health, disability, religious or similar sensitive information. If you choose to include it in a CV, it is processed only as part of that document and only for the purposes below.

3. Why we use it (and our lawful basis)

  • To provide the platform: accounts, job search, alerts, applications and employer dashboards (performance of a contract with you).
  • To send applications and your chosen CV to the employer you apply to (performance of a contract; you choose each application).
  • To make your profile searchable by verified employers, only if you switch this on (your consent, withdrawable at any time in your privacy settings).
  • To deliver career and recruitment services you request (performance of a contract).
  • To verify employers, check adverts and prevent fraud (legitimate interests and legal obligations under the Employment and Labour Relations Act, 2025).
  • To send service emails such as verification, application updates and job alerts (contract and consent; you control alert and notification settings).
  • To improve the service through aggregate analytics (legitimate interests).

We do not use automated decision-making to reject or rank candidates. Humans make hiring decisions.

4. Who sees your information

  • Employers: only the employer you apply to sees your application, profile and chosen CV. If you opt in to talent search, verified employers can view your profile summary.
  • BeMore Digital staff: to verify employers, moderate adverts, deliver services and provide support, under confidentiality obligations.
  • Service providers: hosting, email delivery, analytics and payment providers that process data on our instructions. Our hosting provider is located outside Botswana; we apply contractual safeguards and will update this policy with the details required by the Data Protection Act.
  • Authorities: where the law requires, including returns requested by the Director of Employment Services.

We never sell personal information and we never charge job seekers fees.

5. How long we keep it

  • Job-seeker profiles: while your account is active. After 22 months without sign-in we email a warning; after 24 months we anonymise the profile unless you sign in.
  • Applications: visible to the employer for 12 months after the vacancy closes, then anonymised.
  • Deleted accounts: anonymised immediately; invoices and legal records are kept for the period required by Botswana tax and employment law.
  • Server logs: 90 days.

6. Your rights

You can access, correct, export and delete your information from your account settings, withdraw consent for talent search at any time, and object to or restrict processing by contacting us. You may also complain to the Information and Data Protection Commission of Botswana.

7. Security

Documents are stored outside the public web space and served only to authorised users. Passwords are hashed. Connections are encrypted. Access by staff is logged and audited.

8. Children

The service is for people aged 18 and over, or the minimum working age under Botswana law. We remove accounts of younger users when we become aware of them.

9. Changes

We will post updates here and, for significant changes, email registered users.
